We are looking for an experienced Event Manager capable of professionally organizing, coordinating, and executing large-scale events. The ideal candidate should possess a strong supplier network in Vietnam, excellent project management skills, logical thinking, and the ability to present ideas clearly and logically.
I. Main Responsibilities
1. Event Planning & Client Collaboration
• Meet with clients to discuss and understand their needs and requirements.
• Advise clients on event planning and organization options that best suit their needs and desires.
• Organize brainstorming sessions, provide guidance, and develop ideas and concepts for the event.
• Write a project proposal based on client requirements.
• Develop a budget, quotation, and cost estimate for the event.
• Present plans and ideas to clients and persuade them with proposed ideas.
• Prepare quotations, negotiate budgets, and finalize contracts with clients.
2. Operations & Logistics Management
• Prepare detailed cost estimates for each project, ensuring optimal project cost efficiency.
• Develop a detailed proposal including timeline, location, suppliers, personnel, and legal requirements.
• Conduct site, contractor, and supplier research as planned.
• Survey the event venue and collaborate with the design department to create 2D and 3D layouts.
• Collaborate with the Finance department to negotiate costs, evaluate, and select suppliers and partners.
• Manage the teams, contractors, and personnel involved in event implementation.
• Develop detailed implementation plans, checklists & timelines, production plans, and detailed scripts with high-quality content that meets requirements and objectives.
• Monitor progress and check the quality of work performed to ensure that the project meets the client's requirements in terms of schedule and quality.
• Manage all aspects of event logistics: venue, catering, transportation, accommodation, technical equipment, etc.
• Coordinate pre-event preparations, including speakers, materials, and gifts/supplies for guests.
• Coordinate with suppliers, handle customer requests, and resolve any issues that arise on the day of the event to ensure timely completion and stay within budget.
• Organize necessary services such as parking, traffic management, security, medical services, hospitality, and communications.
• Ensure full compliance with all legal, insurance, occupational safety, and health requirements.
• Manage risks and develop risk mitigation plans for each project.
3. Personnel Management & On-site Operations
• Manage and coordinate event staff, assign tasks, and provide clear briefings.
• Oversee the entire setup, operation, and dismantling process after the event; ensure the venue is handed over according to regulations.
• Collaborate with the management team to build the Event Department's personnel, recruit and train Event Department staff according to established procedures.
• Collaborate with the management team to standardize event processes and make continuous improvements to enhance the quality and efficiency of work.
4. Post-Event Evaluation & Relationship Management
• Conduct post-event evaluation and analysis reports to improve future programs.
• Build and maintain long-term relationships with customers, partners, and suppliers. III. Mandatory Requirements
• In-depth understanding and practical experience in event organization in Vietnam, including regulations, procedures, and market specifics.
• Experienced in organizing events with up to 10,000 attendees or international cultural festivals.
• Possesses the ability to think logically, express and present plans/ideas in a scientific, intelligent, and persuasive manner.
• Ability to communicate in a polite, friendly, and professional manner; knowing how to exchange information effectively with various groups.
• We have strong relationships with event suppliers, partners, and vendors in Vietnam and the region.
• Has extensive connections with the arts community.
• Maintain good relationships with regulatory agencies and departments in the fields of culture, arts, media, and journalism.

• Strong negotiation, partner management, and budget management skills.
• Ability to handle high pressure, process situations quickly, and manage multiple events simultaneously.
• Possesses extensive knowledge of event organization and management, and the ability to implement tasks effectively.
• Understanding of technological applications and technical equipment in the event industry.
• Understanding of basic stage techniques (sound, lighting, stage effects)
• Skills in managing a team (minimum 10 people) and effectively overseeing work.
IV. Priorities
• Minimum 5 years of experience in a similar position
• Experience in organizing large-scale corporate events, conferences, exhibitions, or programs.
• Basic design skills (slides, layouts, proposals). • Understanding of international event standards.
• Good spoken English is an advantage.
• Preferred qualifications: University or college graduates in cultural management, arts, directing, theater, event management, marketing, advertising, or journalism. Or those with relevant degrees or certifications.
